ATS Resume Tips for US Job Market 2026

You applied to 80 jobs last month. You heard back from three. The other 77? Your resume probably never reached a recruiter.
That is not a guess. Around 75 percent of resumes get auto-rejected by Applicant Tracking Systems before a human ever opens the file. The system reads your PDF, scores it, and dumps anything below a threshold straight into a folder labeled "do not contact."
The fix is not better experience or a fancier design. The fix is writing a resume the machine can read.
What an ATS Actually Does in 2026#
When you submit a resume on Workday, Greenhouse, Lever, or Taleo, here is what happens:
- The system parses your file into structured data
- It extracts your name, contact info, work history, education, and skills
- It compares the extracted text against the job description keywords
- It assigns a match score (usually 0 to 100)
- Recruiters see only the top-scored candidates
If your resume parses badly, the system might think your job title is your phone number. That sounds funny until it costs you a $150,000 offer.
The Five Rules That Beat ATS in 2026#
Rule 1: Use a Plain Text-Friendly Layout
Two-column resumes look great on Behance. They break ATS parsers. The left column gets read in random order, your skills end up mixed with your education, and the system misses your job titles entirely.
Stick to one column. Top to bottom. Left aligned.
Avoid these layout traps:
- Tables with merged cells
- Text boxes (the ATS often skips them)
- Headers and footers (most ATS ignore them entirely)
- Icons or images replacing text (an envelope icon does not count as "email")
- Fancy fonts like Garamond or Cambria
Use Calibri, Arial, Helvetica, or Inter at 10 to 12 points. Boring. Effective.
Rule 2: Match Keywords Word for Word
If the job description says "Python," do not write "Py." If it says "stakeholder management," do not write "managed stakeholders." ATS systems do basic keyword matching. They do not understand synonyms the way you do.
Pull the job description, highlight every skill, tool, and certification mentioned, and make sure each one appears in your resume verbatim, ideally in context.
Example job description line:
"Experience with AWS, specifically EC2, S3, Lambda, and CloudFormation."
Bad resume line:
"Built scalable cloud infrastructure on Amazon Web Services."
Good resume line:
"Built scalable AWS infrastructure using EC2, S3, Lambda, and CloudFormation, reducing deployment time by 40 percent."
Both lines say the same thing. The second one passes ATS.
Rule 3: Use Standard Section Headings
Recruiters love creative headings like "My Journey" or "What I Bring." ATS systems do not. They look for specific words.
Use these exact headings:
- Summary or Professional Summary
- Experience or Work Experience
- Education
- Skills
- Certifications
- Projects
Skip "About Me," "Career Highlights," "Things I Am Good At," or anything cute.
Rule 4: Save as .docx or PDF (But Test Both)
Most modern ATS handle PDF fine. Some older systems (especially in finance and government) prefer .docx. If the application portal accepts both, go with PDF made from a text-based editor (Word, Google Docs). Never use a scanned PDF or one exported from Canva that flattens text into an image.
Quick test: open your PDF, hit Ctrl+A or Cmd+A, copy, and paste into a notepad. If the text comes through clean, the ATS can read it. If it pastes as garbage or skips sections, you have a problem.
Rule 5: Quantify Everything
ATS does not directly care about numbers, but the human recruiter who reviews top-scored resumes does. Numbers prove impact.
Weak:
"Improved team productivity."
Strong:
"Improved team productivity by 28 percent over 6 months by introducing weekly retrospectives and automated reporting."
Every bullet should answer: how much, how many, how often, or what percent.
The Biggest US ATS Systems You Will Face#
Different companies use different systems, and each has small quirks.
Workday
Used by big enterprises like Salesforce, Bank of America, and Target. Workday is strict about formatting. It also asks you to re-enter your work history manually after uploading the resume, which means your resume must match what you type. If your resume says "Senior Engineer" and you type "Sr. Engineer" in the form, you might get flagged as inconsistent.
Greenhouse
Used by Airbnb, Stripe, Pinterest, and many Series B+ startups. Greenhouse parses cleanly and lets recruiters see the original file. It is more forgiving on formatting but still penalizes images and complex layouts.
Lever
Used by Spotify, Netflix, and Quora. Lever is the most candidate-friendly of the bunch. Recruiters can see your full resume regardless of parse quality. Still, keyword matching applies for filtering.
Taleo
Older system, used by Oracle, JPMorgan Chase, and many Fortune 500s. Taleo is the toughest. Avoid all special characters, stick to .docx, and keep formatting minimal.
iCIMS
Used by Domino's, Comcast, and large retailers. Similar to Taleo in strictness.
The Section-by-Section Breakdown#
Contact Info
Just your name, city/state, phone, email, and LinkedIn URL. Skip the photo (illegal to consider in the US anyway), skip the date of birth, skip the marital status.
Summary
3 to 4 lines. Include your target job title and the top 3 to 4 skills from the job description. This section is keyword gold.
Example for a backend engineer role:
"Backend Software Engineer with 5 years building Python and Go services on AWS. Experience scaling APIs to 1M+ daily requests, leading code reviews for teams of 6, and shipping features end to end. Looking for senior engineering roles at product companies."
Experience
Reverse chronological. For each role: company name, job title, location, dates. Then 4 to 6 bullets.
Each bullet:
- Starts with a strong verb (Built, Led, Designed, Reduced, Shipped)
- Mentions a specific tool or skill
- Ends with a measurable outcome
Skills
Group them logically: Languages, Frameworks, Tools, Cloud, Databases. Do not pad with skills you cannot speak about confidently in an interview. Recruiters compare your skill list against the JD.
Education
For new grads, this can go above experience. For everyone else, below. Include school, degree, graduation year, and GPA if it is 3.5 or above.
Projects
Optional but powerful for career switchers or freshers. List 2 to 3 with brief descriptions and tech used.
Common ATS Killers to Remove#
Go open your current resume and check for these:
- "References available upon request" (waste of a line)
- Skills displayed as percentage bars or star ratings
- A photo of yourself
- Headers or footers containing your contact info
- Multiple columns
- Text in colored boxes or shaded backgrounds
- Hyperlinks without the URL spelled out
- Special characters like ★ ► ❖ in bullets
